4.1 Booking Process

- For bookings made within 60 days of departure, full payment is required at the time of booking.
- For certain promotions, special offers, or bookings with Travel Suppliers that require different payment terms, specific payment conditions will be communicated at the time of booking.
4.4 Payment Methods
We accept payment by credit card, debit card, bank transfer, and other methods as specified on our Website. By providing your payment information, you:
- Authorize us to charge the applicable fees to the payment method provided
- Confirm that you are the authorized holder of the payment method
- Agree to pay all charges incurred under your account at the prices in effect when such charges are incurred
4.5 Pricing and Surcharges
All prices displayed on our Website are subject to change without notice until your booking is confirmed. Prices are quoted in British Pounds (GBP) unless otherwise specified.
After booking confirmation, we reserve the right to impose surcharges in the following circumstances:

If a surcharge exceeds 8% of the total holiday cost, you will have the right to cancel with a full refund of all monies paid. You must notify us of your decision within 14 days of receiving the surcharge notification.

5. Travel Documentation and Requirements
5.1 Travel Documents
You are responsible for ensuring that you and all travelers in your booking have all necessary travel documents, including but not limited to:
- Valid passport with sufficient validity (typically at least six months beyond your return date)
- Visas or other entry permits for all destinations on your itinerary
- Travel insurance documentation
- Vaccination certificates or health documents as required by destinations
- Any other documentation required for international travel
5.2 Passport and Visa Requirements
While we may provide general information about passport and visa requirements, it is your responsibility to verify and obtain all required travel documents. Requirements can change, and we accept no liability if you are refused entry to a country due to failure to carry the correct documentation.
5.3 Health Requirements
You must ensure that you are aware of any health requirements or recommendations for your destinations and that you are fit to travel. This includes obtaining any required vaccinations and ensuring that you have an adequate supply of any prescription medications.

5.4 Travel Insurance
We strongly recommend that all travelers obtain comprehensive travel insurance that includes coverage for medical expenses, emergency evacuation, trip cancellation, and loss of luggage or personal belongings. Certain trips may require proof of adequate travel insurance as a condition of booking.
6. Changes and Cancellations
6.1 Changes by You
If you wish to change any part of your booking after confirmation, you must inform us as soon as possible. While we will make reasonable efforts to accommodate your request, we cannot guarantee that changes will be possible. If changes can be made, you will be responsible for any additional costs incurred.
Change fees vary depending on the service booked, the timing of the change, and the policies of our Travel Suppliers. Specific change fees will be communicated at the time of your change request.
6.2 Cancellation by You
If you need to cancel your booking, you must notify us in writing. Cancellation fees apply as follows:
- More than 60 days before departure: 25% of total booking cost
- 60-31 days before departure: 50% of total booking cost
- 30-15 days before departure: 75% of total booking cost
- 14 days or less before departure: 100% of total booking cost
Certain bookings, including special offers, promotions, or bookings with specific Travel Suppliers, may have different cancellation policies that will be communicated at the time of booking.
6.3 Changes by Us
We reserve the right to make changes to your booking when necessary. Changes are categorized as "minor" or "significant":
Minor Changes: These include changes to your accommodation to another of the same or higher standard, changes to vehicles or equipment used, changes to departure times of less than 12 hours, or routing changes that do not significantly affect the character of the trip. We will inform you of minor changes, but they do not entitle you to cancel or receive compensation.
Significant Changes: These include changes to your departure date, significant changes to your destination or accommodation quality, or changes to departure times of more than 12 hours. If we make a significant change, we will notify you as soon as possible and offer you the choice of:
- Accepting the change
- Accepting an alternative holiday of comparable standard, if available
- Cancelling your booking and receiving a full refund of all monies paid
6.4 Cancellation by Us
We reserve the right to cancel your booking in the following circumstances:
- Insufficient participants to operate a group tour (you will be informed at least 30 days before departure)
- Failure to pay the balance by the due date
- Force majeure events (as defined in Section 9)
- Your failure to comply with these Terms
If we cancel your booking for reasons other than your failure to comply with these Terms or failure to make payment, you will be offered either an alternative holiday of comparable standard (if available) or a full refund of all monies paid.
7. Our Liability to You
7.1 Our Obligations
We will provide the services described in your booking confirmation with reasonable skill and care. We will accept responsibility for any damage caused by our negligence or that of our employees, agents, or suppliers, provided they were acting within the scope of their employment or engagement.
7.2 Limitations of Liability
Our liability to you is limited as follows:
- We are not responsible for any injury, illness, death, loss, damage, expense, or other claim arising from:
- Your own acts or omissions
- The acts or omissions of third parties not connected with the provision of your travel arrangements
- Unusual or unforeseeable circumstances beyond our control
- Force majeure events as defined in Section 9
- Our liability for claims not involving personal injury, illness, or death is limited to the cost of your booking.
- Our liability is further limited in accordance with relevant international conventions, including but not limited to the Warsaw/Montreal Convention (international travel by air), the Athens Convention (sea travel), the Berne Convention (rail travel), and the Paris Convention (accommodation).
7.3 Travel Supplier Services
Where we act as an agent for Travel Suppliers (e.g., airlines, hotels, activity providers), we do not accept liability for the acts or omissions of those suppliers. Your contract for such services is directly with the supplier, and their terms and conditions apply.
7.4 Adventure Travel
Many of our tours involve adventure activities and travel to remote locations where medical facilities may be limited. By booking such tours, you acknowledge and accept the inherent risks involved. You confirm that you are physically and mentally capable of participating in the activities included in your itinerary and that you understand the nature of the activities involved.
8. Your Responsibilities
8.1 Conduct
You are responsible for your behavior and that of your party. If, in our reasonable opinion or the opinion of any other person in authority, your behavior is causing or likely to cause danger, distress, or annoyance to others, we reserve the right to terminate your booking without notice. In this situation, our responsibilities to you will cease immediately, and you will be required to make your own travel arrangements. We will not be liable for any costs incurred, refunds, compensation, or reimbursement of expenses.
8.2 Compliance with Laws and Regulations
You must comply with all local laws, regulations, and customs of the countries you visit, as well as all reasonable instructions from our staff or representatives. This includes but is not limited to health and safety regulations, environmental protection laws, and cultural sensitivities.
8.3 Special Requirements
You must inform us at the time of booking of any special requirements, including dietary restrictions, medical conditions, or disabilities. While we will make reasonable efforts to accommodate special requirements, we cannot guarantee that all requests can be met.
8.4 Complaints
If you have a complaint during your trip, you must inform our local representative or contact our customer service team immediately to give us the opportunity to resolve the issue. If the problem cannot be resolved during your trip, you must notify us in writing within 28 days of the end of your trip. Failure to follow this procedure may affect your right to claim compensation.
8.5 Indemnity
You agree to indemnify and hold harmless CoastAlmorn, its officers, directors, employees, and agents from any claims, causes of action, damages, losses, liabilities, costs, or expenses arising from:

We will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under these Terms that is caused by events outside our reasonable control ("Force Majeure Event").
A Force Majeure Event includes any act, event, non-occurrence, omission, or accident beyond our reasonable control and includes, in particular (without limitation):
- Strikes, lock-outs, or other industrial action
- Civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not), or threat or preparation for war
- Fire, explosion, storm, flood, earthquake, subsidence, epidemic, pandemic, or other natural disaster
- Impossibility of the use of railways, shipping, aircraft, motor transport, or other means of public or private transport
- Impossibility of the use of public or private telecommunications networks
- Acts, decrees, legislation, regulations, or restrictions of any government or public authority
Our obligations under these Terms are suspended for the period that the Force Majeure Event continues, and we will have an extension of time to perform these obligations for the duration of that period.
