2. Cancellation and Refund Schedule
The following cancellation fees apply to all standard bookings unless otherwise specified at the time of booking or in the terms of a specific promotion or offer:

In many cases, special promotional rates are non-refundable or subject to higher cancellation fees. Please review the specific terms of your booking carefully.
3. Deposit Refunds
For bookings that require an initial deposit followed by a final payment:
- If you cancel your booking before the final payment due date (typically 60 days before departure), the cancellation fee will be calculated as a percentage of the deposit amount according to the schedules above.
- If you cancel your booking after the final payment due date, the cancellation fee will be calculated as a percentage of the total booking cost according to the schedules above.
- If you fail to pay the final payment by the due date, we reserve the right to treat your booking as cancelled and retain your deposit as a cancellation fee.
4. Exceptions and Special Circumstances
4.1 Force Majeure Events
In the event that we are forced to cancel your booking due to circumstances beyond our control (Force Majeure events), including but not limited to natural disasters, acts of government, civil unrest, pandemics, or other extraordinary circumstances, we will offer you the following options:
- Rescheduling your trip to a later date without additional fees (subject to availability and any price differences)
- Providing a credit voucher for the full amount paid, valid for 24 months from the date of issue
- Processing a refund as per our standard cancellation policy, or as required by applicable law
4.2 Cancellation by CoastAlmorn
If we cancel your booking for reasons within our control (e.g., insufficient participants for a group tour, operational issues), we will offer you the following options:
- An alternative tour of comparable standard and value (if available)
- A full refund of all monies paid
In such cases, our liability is limited to the refund of payments received from you. We are not responsible for any additional expenses you may have incurred in preparation for your trip, such as non-refundable flights, visa fees, or vaccination costs.
4.3 Significant Changes by CoastAlmorn
If we make a significant change to your booking (as defined in our Terms and Conditions), you will have the option to:
- Accept the change
- Accept an alternative tour of comparable standard and value (if available)
- Cancel your booking and receive a full refund of all monies paid
5. Non-Refundable Items
The following items are generally non-refundable, regardless of when cancellation occurs:
- Travel insurance premiums
- Visa processing fees
- Vaccination or medical testing costs
- Amendment fees for changes made prior to cancellation
- Service fees or handling charges
- Any third-party charges that are non-refundable to us
6. Refund Process
6.1 How to Request a Refund

- Bank transfer refunds may take up to 30 business days to process
- Refunds for payments made through third-party payment processors or travel agencies may take longer and are subject to their processing times
6.3 Refund Method
Refunds will be issued using the same method of payment used for the original booking. For example:
- Credit card payments will be refunded to the same credit card
- Bank transfer payments will be refunded to the originating bank account
- If the original payment method is no longer available, we will work with you to arrange an alternative refund method
7. Travel Insurance and Trip Protection
We strongly recommend that all travelers purchase comprehensive travel insurance that includes trip cancellation and interruption coverage. Travel insurance can provide reimbursement for non-refundable trip costs in the event that you need to cancel your trip for covered reasons such as illness, injury, or other unexpected events.
CoastAlmorn offers optional Trip Protection Plans at the time of booking that may provide more flexible cancellation terms. These plans are available for an additional fee and must be purchased at the time of booking or within 14 days of making your initial deposit.
Our Trip Protection Plans include:
- Standard Protection: Allows cancellation up to 30 days before departure with a 90% refund of the total booking cost
- Premium Protection: Allows cancellation up to 15 days before departure with a 90% refund, or up to 7 days before departure with a 75% refund
Trip Protection Plans do not cover cancellations within 7 days of departure and do not apply to certain specialized tours or promotional bookings.
8. Partial Cancellations and Changes
8.1 Cancellation by Individual Group Members
For group bookings where one or more travelers cancel but others still travel:
- The cancellation fee for the cancelling travelers will follow the standard schedule above
- The remaining travelers may be subject to price adjustments if the original price was based on a specific group size or shared accommodations
8.2 Changes to Booking Details
If you request changes to your booking instead of cancelling entirely:
- Minor changes (e.g., meal preferences, bed configurations) may be accommodated without charge, subject to availability
- Major changes (e.g., dates of travel, destinations, accommodation upgrades) will be treated as a cancellation and rebooking, with applicable cancellation fees
- Name changes may be permitted for a fee of £50 per person, provided the change is made more than 30 days before departure
9. Special Booking Types
9.1 Custom and Private Tours
For custom-designed itineraries and private tours, the following refund terms apply:
- A non-refundable planning fee of £250 applies to all custom tour requests
- Deposits for custom tours are 30% of the total booking cost and are non-refundable
- Final payment is due 90 days before departure
- Cancellation fees follow the Specialized Tours schedule in section 2.2
9.2 Group Bookings
For group bookings of 10 or more travelers:
- Custom group terms may be offered at the time of booking
- A higher deposit percentage may be required
- Cancellation terms may be more restrictive than our standard policy
- Group discounts may be adjusted or removed if the group size changes due to cancellations
10. Supplier Terms and Conditions
Some components of your booking may be provided by third-party suppliers (airlines, hotels, activity providers) who have their own cancellation and refund policies. In cases where a supplier's cancellation policy is more restrictive than ours, the supplier's policy may take precedence.
Examples include:
- Many airlines offer non-refundable tickets
- Some hotels require non-refundable prepayment, especially during peak seasons
- Special events, festivals, or limited-availability experiences may have no-refund policies
We will always inform you of such restrictions before confirming your booking.
11. Consumer Rights and Legal Compliance
This Refund Policy complies with the Consumer Rights Act 2015 (UK) and The Package Travel and Linked Travel Arrangements Regulations 2018.
If you are a resident of the European Union, you may be entitled to additional rights under the EU Package Travel Directive (2015/2302).
Nothing in this policy affects your statutory rights. If there is any conflict between this policy and applicable consumer protection laws, the law will prevail.
